Job Description
Victory Farms is looking for a highly organised and proactive Commercial Admin Supervisor to provide end-to-end administrative, facilities, inventory, and operational support across its branch network and Logistics Centres (LCs). This is a pivotal role that ensures smooth day-to-day commercial operations by keeping facilities compliant, resources available, and processes running on time.
Reporting to the Commercial Operations leadership, you will act as the central coordinator between field teams, finance, procurement, and maintenance — ensuring that every Logistics Centre and branch has what it needs to operate efficiently, safely, and in line with company standards.
- Ensure all branches and Logistics Centres are adequately stocked with operational consumables and materials on an ongoing basis.
- Execute monthly ordering and distribution of consumables and maintain an up-to-date consumables tracker.
- Conduct monthly administrative surveys across commercial sites and share findings with relevant stakeholders.
- Facilitate travel allowances for Regional Sales Representatives and Relievers in a timely manner.
- Oversee the acquisition and renewal of operating licenses for all branches and Logistics Centres.
- Coordinate Food Handlers' Certificates for staff at branches and Logistics Centres.
- Support the Fleet team in obtaining the required vehicle permits and licenses.
- Enforce PPE and uniform policy compliance across all commercial employees.
- Oversee maintenance, cleanliness, and overall condition of all Logistics Centres; coordinate repairs and improvement projects through Procurement and Maintenance teams.
- Ensure all commercial facilities meet company hygiene and safety standards at all times.
- Prepare departmental budgets and coordinate commercial events and activities.
- Track and ensure timely payment of branch rent, utilities, and other recurring operational costs.
- Ensure invoices are properly approved and submitted to Finance for processing.
- Raise and manage purchase requests and purchase orders through the ERP system.
- Manage petty cash utilisation in accordance with company policies and maintain accurate accountability records.
- Coordinate supply of cleaning materials, PPE, stationery, drinking water, and other essential welfare items across all Logistics Centres.
- Coordinate breakfast provision and other staff welfare initiatives at all Logistics Centres.
- Coordinate visits by external stakeholders, investors, and executive guests to commercial sites.
- Maintain accurate physical inventory records for Victory Logistics Centre stores and ensure ERP reconciliation.
- Monitor stock levels and initiate replenishment as required.
- Coordinate monthly employee recognition and awards programmes, including organising presentations and sharing communications.
- Demonstrate at least 3 years of experience managing multi-site administrative or operations support functions, ideally in FMCG, logistics, or agri-business.
