We are seeking a detail-oriented and proactive Dispatch Coordinator to join our logistics operations team in Nairobi. This role sits at the heart of our transportation and warehouse interface, ensuring that all vehicle dispatches are executed safely, on time, and in full compliance with client protocols and organizational standards. Key Responsibilities
  • Ensure all dispatched vehicles carry complete and accurate documentation including Invoices, Dispatch Notes, HTO, and GAN notes before departure.
  • Receive, debrief, and archive all dispatch-related documents — including Proof of Deliveries (PODs) — accurately within the DCT system before forwarding to archive.
  • Circulate all dispatch-related data within set KPIs and ensure timely DCT trip closures.
  • Liaise between warehouse and transport teams to maintain a smooth, uninterrupted operational flow.
  • Attend monthly on-site operations meetings to review performance, profitability, and improvement opportunities.
  • Identify and implement continuous improvement opportunities using First Choice tools, with a focus on annual gross profit enhancement.
  • Facilitate effective communication across all stakeholders regarding changes, delays, and relevant operational updates.
  • Assist KBL Transport Executors in the day-to-day running and ensure tasks are executed to completion.
  • Escalate and resolve documentation hitches in a timely manner.
  • Ensure all dispatches are processed through the TRAMM mobile application with timely updates shared accordingly.
  • Enforce compliance with all relevant DPDHL policies, standard operating procedures, and work instructions.
