Dispatch Coordinator

We are seeking a detail-oriented and proactive Dispatch Coordinator to join our logistics operations team in Nairobi. This role sits at the heart of our transportation and warehouse interface, ensuring that all vehicle dispatches are executed safely, on time, and in full compliance with client protocols and organizational standards. You will play a critical role in maintaining documentation integrity, driving operational KPIs, and fostering seamless communication across the supply chain.

The ideal candidate thrives in a fast-paced logistics environment, has hands-on experience with transportation management systems, and understands the importance of both safety compliance and continuous improvement in distribution operations. This position supports KBL Transport Executors and directly contributes to the profitability and performance of on-site logistics operations.

• Ensure all dispatched vehicles carry complete and accurate documentation including Invoices, Dispatch Notes, HTO, and GAN notes before departure.
• Receive, debrief, and archive all dispatch-related documents — including Proof of Deliveries (PODs) — accurately within the DCT system before forwarding to archive.
• Circulate all dispatch-related data within set KPIs and ensure timely DCT trip closures.
• Liaise between warehouse and transport teams to maintain a smooth, uninterrupted operational flow.
• Attend monthly on-site operations meetings to review performance, profitability, and improvement opportunities.
• Identify and implement continuous improvement opportunities using First Choice tools, with a focus on annual gross profit enhancement.
• Facilitate effective communication across all stakeholders regarding changes, delays, and relevant operational updates.
• Assist KBL Transport Executors in the day-to-day running and ensure tasks are executed to completion.
• Escalate and resolve documentation hitches in a timely manner.
• Ensure all dispatches are processed through the TRAMM mobile application with timely updates shared accordingly.
• Enforce compliance with all relevant DPDHL policies, standard operating procedures, and work instructions.
• Support site safety engagements, review incident investigations, and respond to non-compliance escalations.
• Analyse health and safety risks for both own-fleet and subcontracted drivers; take corrective action to reduce or eliminate identified risks.
• Monitor Delivery in Full (DIF) metrics and take proactive steps to maintain service levels.
• Actively participate in and support change management initiatives within the operation.

• Hold a Degree or Diploma in Logistics, Supply Chain Management, or an equivalent field.
• Demonstrate at least 5 years of hands-on experience in transportation dispatch within a logistics or supply chain environment.
• Operate transportation management systems (TMS) and route optimization software confidently and accurately.
• Apply a solid working knowledge of distribution, transport, packaging, and warehousing methods in daily operations.
• Communicate effectively across warehouse, transport, and client-facing teams — both verbally and in writing.
• Manage documentation workflows meticulously, ensuring zero errors in dispatch records and archiving processes.
• Navigate and enforce safety regulations specific to driver operations, including subcontracted fleet management.
• Leverage First Choice or similar continuous improvement frameworks to identify and close operational gaps.
• Hold a relevant professional qualification in logistics, transport, or supply chain (an added advantage).

The monthly salary for this role is estimated in the range of KES 80,000 – KES 130,000, commensurate with experience and qualifications. DHL Supply Chain is known for offering a competitive total compensation package within the logistics industry in Kenya.

Ideal candidates are experienced logistics professionals who have worked in high-volume dispatch environments, are comfortable using digital dispatch tools such as TRAMM, and have a track record of meeting tight operational KPIs. You are organized, safety-conscious, and able to manage multiple moving parts simultaneously without losing attention to detail. Experience within FMCG or beverage distribution chains (e.g., supporting KBL or similar clients) is a strong advantage.
